1. What we collect

To run your application process, we collect: your name, email, and phone number; academic details such as grade, target entry year, SAT/IELTS scores, and GPA (including whether a score is a mock/practice result); your college list and per-school application checklist; your personal statement intake answers and draft history; your extracurricular activities and honors; uploaded documents (transcripts, recommendation letters, financial certification, visa documents, resume, test scores); and messages exchanged with your advisor.

If you make a payment, we record the amount, method, and status of that payment. For bank transfers, this includes the receipt you upload for verification.

2. Sensitive application credentials

Where our advisors assist directly with your Common App, CSS Profile, or OUAC accounts, those login credentials are stored encrypted at rest (AES-256) and shown in the portal only as masked fields that require a deliberate click to reveal — labeled for advisor use during application support, never displayed in plain text by default.

3. How we use your data

Your information is used to deliver the consultancy service itself: matching you with an advisor, tracking your application progress, computing your readiness score, giving feedback on your personal statement and activities, and communicating with you about deadlines and next steps. Where a program involves parents (for example, scheduled parent advisor meetings), relevant updates may be shared with a parent or guardian you've identified to us.

We do not sell your personal data to third parties.

4. Who can see it

Your assigned advisor can see your own profile, documents, and progress. Super admins can see all students across all programs, for account administration and quality oversight. Other advisors cannot see students who aren't assigned to them.

5. Devices and account security

Student accounts are limited to 2 registered devices (one mobile phone, one laptop/tablet) at a time, enforced through device/session tracking — logging in from a third device is blocked automatically. This limit exists to protect your account, not to track your location or activity beyond what's needed for that check.

6. Payment processing

Depending on the payment method you choose, your payment may be processed through a third-party payment processor (for card or QPay payments) or verified manually by our team from a bank transfer receipt you upload. We don't store full card numbers ourselves.

7. Data retention and deletion

We keep your records for as long as you have an active account and as needed for our own legal and administrative record-keeping afterward. You can request a copy of your data, or request that it be deleted, by contacting us at the email below — we'll retain only what we're required to for legitimate record-keeping purposes.

8. Contact

Questions about this policy or your data can be sent to support@applygo.io.
